Privacy Policy

Who we are

CPD Safety Solutions operates a trucking safety and document management workspace from Illinois, United States. This policy describes information handled through cpdsafetysolutions.com, including company workspaces, driver document links and electronic signing pages.

Questions or privacy requests: cpd.safetysolutions@gmail.com.

Information we handle

  • Account and contact details: names, email addresses, usernames, company associations and access roles. Passwords are stored as password hashes.
  • Business and safety records: information submitted by companies, staff and drivers, such as vehicle registrations, VINs, license details, inspection reports, permits, insurance, claims, employment records and medical certification documents. Uploaded records may contain sensitive personal information, including government identifiers.
  • Signing records: the document being signed, recipient details, typed or drawn signatures, initials, consent, verification events, timestamps, document integrity hashes and associated browser or IP information. Signatures are used to record the signing action, not for biometric identification.
  • Service and security information: session cookies, access events, verification attempts and technical information needed to operate and protect the service.

We receive records from users and the businesses that manage their workspaces. A company may retain information you submitted to it as part of its own business and compliance records.

How we use information

We use information to provide authorized workspace access, organize and review documents, extract document details, track safety and expiration information, generate documents, request electronic signatures, record access through private email links, retain signing evidence, provide support and protect against misuse. We also use records as needed for applicable business, legal and recordkeeping obligations.

Google and Gmail connection

Only an authorized CPD administrator can connect the CPD sending account. The connection requests permission to identify the Google account and its email address and to send email on that account's behalf. It does not request permission to read, search, modify or delete inbox messages or to read Google Drive files or contacts.

Gmail is used for signing invitations and completion notices. Google receives the recipient email address, message subject and content, and secure document links included in those messages. A document link is not a public document listing; the signing flow requires possession of the private link before document access; it does not require a separate email code or independently verify the signer’s identity.

Google authorization tokens are kept on the server; stored refresh tokens are encrypted. They are not placed in public browser assets. We do not sell Google user data, use it for advertising, or use it to train generalized AI models. Google account information and tokens are not sent to our document-reading AI provider.

Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

The Google account owner can revoke access through Google Account connections. Revocation stops future authorized sending after the authorization becomes invalid; it does not recall sent messages or remove documents and signing evidence already retained in CPD. Contact us to request removal of the stored connection.

Who receives information

Records are available to authorized workspace users and the companies managing those records. Signing requests and completed records are shared with their intended recipients and authorized company staff. People who receive or download a document may retain their own copy.

We use service providers to operate the workspace: Cloudflare for hosting and storage, Google for authorized Gmail delivery, and DeepSeek for document extraction when AI reading is requested. Document reading may send uploaded document images or text to that provider. These services may process information in the United States or other countries. Google account access information is kept separate from document-reading requests.

We may disclose information when required by law, to respond to valid legal requests, or to protect the service and its users. We do not sell personal information or share it for behavioral advertising.

Storage, retention and security

We use access controls, private document storage, encrypted connections and server-side protections. No internet service can promise absolute security.

We retain information for as long as it is needed to provide the service, maintain document and signing history, meet recordkeeping obligations, handle disputes or protect security. Replacing or archiving a document does not necessarily delete its original or previous versions. Deletion requests may be limited by legal obligations and records maintained by the company that supplied the information. Information may also remain in protected recovery copies after active records are removed, subject to applicable retention obligations.

Your choices and requests

You may request access to, correction of or deletion of your information by contacting cpd.safetysolutions@gmail.com. If a company manages your records, you can also contact that company. We may need to verify your identity and authority before acting. Do not include passwords or full government identification numbers in an ordinary email request.

You may decline electronic signing by closing the signing page and contacting the requesting company for another method. Closing the page does not cancel an existing business obligation or delete a previously completed signing record.

Cookies and children

The workspace uses cookies needed for authentication, Google connection security. Blocking them may prevent these features from working. The service is intended for business users and is not directed to children under 13.

Updates

We may update this policy as the service changes. The effective date appears above. Questions about a change can be sent to our privacy contact.
